Position Overview
Ultimate Staffing Services is actively seeking a dedicated Marketing Coordinator to join a dynamic team in San Rafael, California. This hybrid role offers the chance to work on exciting marketing operations projects with a leading company. The Marketing Coordinator will support logistics for the Communications team, acting as the primary point of contact for cross-portfolio marketing operations. This position is focused on managing timelines, tracking deliverables, and ensuring alignment across multiple departments.
Responsibilities
- Serve as the primary marketing liaison to the Real Estate Management Department.
- Receive, triage, and track marketing requests related to property transitions and portfolio updates.
- Coordinate all projects in Asana, assign tasks, and ensure deadlines are met.
- Lead weekly Asana review meetings and maintain workflow visibility.
- Ensure internal organization and documentation across multiple concurrent projects.
- Support the audit and launch readiness of the corporate property website.
- Coordinate monthly meetings with Compliance; document notes and track priority actions.
- Attend Property Transition meetings and compile detailed specification sheets.
- Track progress and ensure timely completion of transition deliverables.
- Administer and report on digital marketing platforms, including Zillow, Apartments.com, Google, and Facebook.
- Process and track platform-related invoices, ensuring proper documentation and follow-through.
- Write and manage copy for print and digital advertising, including newspapers and radio spots.
- Coordinate monthly meetings with Property Management leadership to determine priority marketing needs.
- Plan and coordinate photoshoots, including booking photographers and managing final image delivery.
- Maintain the All-Portfolio Tracker and ensure data accuracy across systems.
- Actively participate in the Injury and Illness Prevention Plan and maintain regular and predictable attendance.
Required Skills & Qualifications
- Strong project management and organizational skills.
- Ability to work quickly and accurately in a high-volume, deadline-driven environment.
- Strong administrative skills with exceptional attention to detail.
- Experience working with data, reporting, and analytics.
- Proficiency with Asana or similar project management tools.
- Solid copywriting skills and understanding of traditional marketing frameworks.
- Comfort leveraging templates, automation, and AI tools to improve efficiency.
- Clear written and verbal communication skills.
- Ability to follow established processes and detailed specifications.

Benefits
The role offers a competitive hourly rate ranging from $32.00 to $35 per hour. The position is hybrid, requiring 2 days onsite per week in San Rafael, CA, with core collaboration days from Tuesday to Thursday.
